Ninja Newsletter #20: The 201 WPM Problem

Summarize with:

I've been told that I talk too fast! 😳

201 Words Per Minute (WPM) to be exact. 🏇🏾

Most people would call that a flaw. I used to. But here's the thing about flaws - they're just data points waiting to teach you something. That speedy discovery led to three game-changing upgrades that could save you hours every week.

Growth ain't comfortable, and it definitely isn't pretty when you're staring at feedback that says you firehose people with information in your conversations. 😓

But it's well worth the effort when you turn those uncomfortable truths into competitive advantages.

Whether you’re tightening up your tools, experimenting with new automations and AI, or rethinking how you handle failure, this month’s lineup is built to keep you moving forward with facts over feelings and feedback over fear.

So let’s lean in, shall we?

THE ZOOM UPGRADE THAT ACTUALLY PAYS FOR ITSELF 😮

Chances are you already use Zoom. If you're like me, it's maybe even daily. But if you’re still on the free plan, the Pro upgrade is one of those quiet little investments that can seriously level up your workflow.

For about $160 a year (less than a ChatGPT Plus subscription), you get:

Cloud recordings with 10 GB of storage (recently doubled from 5 GB)

AI-powered transcripts and summaries that highlight action items and next steps

Meeting coach feedback on pacing, filler words, patience, and talk-to-listen ratio.

That last one is a game changer. We’ve all been in those meetings where someone bulldozes the conversation. Not cool, right? But these types of insights help you communicate more effectively and make your meetings productive instead of painful.

Last Wednesday, Zoom's AI caught something I couldn't recall in an hour-long call: the investor needed a script for use in a marketing campaign and off the cuff, I gave them some great verbiage to use... but I couldn't remember my own golden words just a few hours later when I finished my stack of calls for the day. That one hack led to quite a bit of time saved for me and for the investor could translate to significant enhancements in their capital raise efforts this year. The Pro upgrade costs $160 this year. You do the math.

If you’re on even a couple of calls a week where takeaways matter (like what feedback your private lending prospect shares about your capital raise pitch), Zoom Pro more than pays for itself. And since you already know Zoom, upgrading is seamless.

Worth considering the next time you click “Join Meeting.”

BTW, bet you didn't know that I consistently speak at over 200 words per minute, did ya? Wonder how I know?

Zoom Pro told me so! 🤣

AUTOMATION OF THE MONTH: GO FROM TAB MONSTER TO TAB MASTER WITH "ZAP-A-LINK"

This one’s simple, powerful, and best of all... FREE.

I call it Zap-A-Link, and it’s a little automation that saves your browser tabs from multiplying like rabbits. Here’s how it works:

Get yourself a free Zapier account and log in thru Chrome.

1️⃣ Install the Zapier Chrome extension (free account works fine).

2️⃣ Set up a Zap that grabs the page you’re on: URL, title, and date... and sends it straight to a Google Sheet.

Next time you find a site worth saving, just click the Zapier button in your browser extensions area and trigger the Zap-A-Link automation with a click. Done. Tab closed, link saved, brain clear.

I’ve been running this for 3+ years, with well over a thousand links captured. It’s one of those “set it and forget it” automations that quietly pays off every single day.

If you’re tired of drowning in open tabs but don’t want to lose the good stuff you find, give Zap-A-Link a try. I’ll drop a link below so you can make it yours! 👇🏾

TRY SMART HIRING TO OUTSOURCE YOUR WEAKNESSES

As business owners, you've probably realized over time that hiring based on skills alone can often lead to funky fits and frustrations, quick! That’s why I want to share with you a new way to shift the focus to including an understanding of a candidate's natural behaviors using tools like Predictive Index and DISC assessments.

Consider this simple idea: most true extroverts will tend to be more likely to thrive in sales, while calm, steady people generally excel in more administrative roles like accounting and property management.

Getting a glimpse into how someone’s personality will likely fit a given job role makes a lot of sense when you think about it. Are you naturally aligned to own and operate every function of your business? Of course not!

This is why clearly defining each role’s expectations before hiring is the key to finding the right fit. It helps improve employee sat, reduces turnover and also allows you to outsource areas where "strengths are lacking" by assembling your own dream team with complementary skills & personalities.

So ask yourself, what roles are you being run by in your business? Which jobs would you quit today? Or fire yourself from? 🤔

Say to yourself, "What if I could just... replace myself in that role? And that one? And definitely that one?" See where I am headed with this??

Obviously be smart about it and use this wisdom intelligently. It's not intended to discriminate or be used for any other ill-intent, so direct any questions about all that to your own internal HR department.

What I'm saying is... this type of more strategic hiring approach can maximize the return on your hiring investments and build a more balanced, optimally-performing team of people doing what they naturally enjoy.

BOOK OF THE MONTH: FAILING FORWARD

When Recia set out to make 100 offers to sellers, she was rejected 96 times. Ninety-six sellers said NO, and only four said YES. Most investors would call that failure. 😖

Luckily, author John C. Maxwell taught us to look at it as market research.

Here's the mindset shift that turned those 96 'failures' into 4 successful deals:

🗝️ Redefine failure → It’s not the opposite of success; it’s part of the process. This is a numbers game. 💯

🗝️ Own it → Don’t blame circumstances or other people. Take responsibility so you can learn. If it's going to be...

🗝️ Fail forward → Use setbacks as stepping stones by asking what worked, what didn’t, and what you’ll try next. #JourneyTo100Nos

🗝️ Stay intentional → Growth requires revisiting the experience, extracting lessons, and applying them deliberately. #LockInTheLesson

Maxwell backs this up with stories of entrepreneurs, athletes, and inventors who stumbled time after time... before achieving big wins.

The message is simple but powerful: failure is unavoidable, but it doesn’t have to define you. With the right mindset, it can be the tool to transform you into who you’re becoming!

A NEW CHAPTER: TEACHING MY 1ST AI CLASS

Happy September, friends! The final trimester of 2025 is here. And I’ve got a little update: I just taught my first class on AI.

It was a casual, one-hour session for entrepreneurs and real estate investors, focused on how to bring AI into their business.

In a small group and cozy setting, I passionately taught 5 inquiring minds how to use ChatGPT and other AI tools to start creating their own staff of AI Note Takers, AI Data Extractors, AI Copywriting Enhancers and and AI Education Assistants!

I loved it. Turns out, sharing what I’ve been learning is just as fun as learning itself.

But here's why I'm doing more of these sessions: I know there are many of you already winning and far too busy to pay attention to the writing on the wall. That's cool. Respect that.

I also know that there are some of you who feel like you're at a Kindergarten level with AI and I’m already reading at a 12th grade level (with no intents of slowing down)! 🤓

So, if AI is something you’d like to explore integrating into your business, don't be scared to book a call and let me know about your goals. I may be taking a few requests for the next session, which is coming up THURSDAY 9/11/2025 at 11am Pacific/2pm Eastern.

This feels like a new way I can give back, solve problems, and maybe even make the world of AI a little less intimidating for some of you out there... I’m excited to see where this goes! See you there?

FOOD FOR THOUGHT

“Ask for help. Not because you're weak. But because you want to remain strong.”

— Les Brown

This month's food for thought comes from one of my first personal development mentors when I started my growth journey. It comes from Les Brown, and he gives us this nugget of wisdom. He says, "Ask for help, not because you're weak, but because you want to remain strong."

That is so good. Somebody out there needs to hear that, especially the guys, right? We don't even want to ask for help when it comes to getting directions! "I'm fine. I'll find it." Right? And then, 3 hours later... 😂

But the idea of asking for that help, it's a paradigm shift. You're not asking out of weakness. You want to remain strong. 💪🏾

So being open to that mentality and that philosophical shift, I think is big and something that would be good food for thought for all of you reading this today.

FINAL THOUGHTS

As we step into the last stretch of 2025, remember this: real progress comes through motion, not perfection. Every tab you close with an automation, every meeting you run smarter with AI, every failed attempt or bad deal you reframe as feedback... it all stacks up.

So don’t wait until January for a fresh start. September is as good a time as any to adjust, realign, and accelerate. Let’s fail forward together, and keep building the future we want, one step at a time.

Until next month... keep leaping ahead, Ninja Style!
